Privacy Policy
Robocast is a messaging platform operated by Robotack ("Robotack", "we", "us"). It lets businesses import their customer contacts and send SMS and WhatsApp messages. This policy explains what personal data we process, why, who we share it with, and the choices you have.
1. Who this policy covers
- Our customers: businesses and their users who sign in to Robocast. For their account data, Robotack decides how the data is used.
- Our customers' contacts: people whose phone numbers and details a business uploads to Robocast and messages through it. The business decides why and how these people are contacted; Robotack processes this data on the business's behalf and only to provide the service.
If you received a message sent through Robocast and want to stop receiving messages, or want to know what data a business holds about you, please contact that business first. You can also contact us (see Contact) and we will help.
2. Data we collect
Account data
- Names, email addresses, phone numbers, company name and role of the people using a Robocast account.
- Login and security data, such as encrypted passwords and sign-in activity.
- Billing information related to message bundles.
Contact data uploaded by businesses
- Phone numbers, names and other fields a business chooses to import, and the tags or segments it assigns.
Messaging data
- Message templates and message content sent through the platform, including images, videos or documents attached to them.
- Delivery information such as sent, delivered, read and failed statuses, timestamps and error codes.
- Replies and messages that contacts send to a business's WhatsApp number, and button or list selections.
Technical data
- IP address, browser type and log data collected when you use the website, for security and troubleshooting.
3. How we use data
- To provide the service: importing contacts, sending SMS and WhatsApp messages, showing delivery reports and receiving replies.
- To connect and manage a business's WhatsApp Business Account, as described in the next section.
- To operate accounts, billing, support and service notifications.
- To keep the platform secure, prevent abuse and spam, and meet legal obligations.
We do not sell personal data, and we do not use customers' contact lists or message content for our own marketing.
4. WhatsApp and Meta data
When a business connects WhatsApp to Robocast (through Meta's Embedded Signup or by granting Robocast partner access), we receive from Meta, with the business's permission:
- WhatsApp Business Account ID, business portfolio ID, phone number ID, display phone number, verified business name, quality rating and account status.
- An access token that allows Robocast to send and manage messages for that account. Tokens are encrypted before they are stored.
- Webhook notifications from Meta: incoming messages, delivery statuses, template approval updates and account updates. If a business keeps using the WhatsApp Business app alongside Robocast, this can include messages sent from the app, contacts, and chat history the business chooses to share.
We use this data only to provide messaging features to that business. Robocast does not take ownership of a business's WhatsApp Business Account or phone numbers. A business can disconnect Robocast at any time from the WhatsApp Connections page or in Meta Business Settings. Use of WhatsApp is also subject to Meta's own terms and privacy policy.
5. Sharing
We share personal data only as needed to run the service:
- Meta Platforms (WhatsApp), to send and receive WhatsApp messages.
- SMS delivery partners (mobile operators and SMS gateways), to deliver SMS messages.
- Hosting and storage providers, such as Microsoft Azure for file and media storage, acting on our instructions.
- Authorities, when required by law or to protect rights and safety.
- A buyer or successor, if Robotack's business is reorganized or sold, under this policy.
6. Retention
We keep account data while the account is active. Contact lists, messages and delivery logs are kept while the business uses the service, or for as long as needed for reporting, billing, dispute handling and legal obligations. When data is no longer needed, or after a valid deletion request, we delete or anonymize it.
7. Security
We use encrypted connections (HTTPS), access controls based on roles and permissions, encrypted storage for WhatsApp access tokens, and separation between the data of different customers. No system is completely secure, but we work to protect data and to respond promptly to incidents.
8. Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal data, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, contact us. If your data was uploaded by a business, we may pass your request to that business, since it controls that data.
9. Data deletion
How to ask for your data to be deleted:
- Send an email to Tech@robotack.com with the subject "Data deletion request", and include the email address or phone number linked to your data.
- Businesses can also disconnect their WhatsApp account from the WhatsApp Connections page in Robocast, and remove Robocast in Meta Business Settings (Business Integrations or Partners).
- If you connected Robocast through Facebook, you can remove it under Facebook Settings → Business Integrations.
We confirm the request and complete the deletion within 30 days, except for data we must keep by law (for example, billing records).
10. Cookies
Robocast uses essential cookies to keep you signed in and to remember your language and display preferences. The WhatsApp connection page loads Meta's Facebook SDK, which may set its own cookies under Meta's policies.
11. Children
Robocast is a business service and is not directed at children. We do not knowingly collect personal data from children for our own purposes.
12. Changes
We may update this policy. We will change the effective date above and, for significant changes, notify account holders.
